With more and more conference venues appearing out of the blue every day, you will need to have conference facilities that would set you apart from the rest! If you have ever considered investing in a venue and making it available for conferences, get togethers or training seminars, there a number of factors that you should consider:
Will you be able to offer ample parking? It is not important if you have a smallish venue that will only cater for 10 people or a large resort fully equipped for 500 delegates, parking is very important! Do not be of the mindset that everybody will leave at the same time and therefore parking maneuverability is not important. Parking should also be clearly marked so that guests know where they are permitted to park and which areas to avoid.
The next thing you need to consider is the access to the conference venue. It does not matter if you have the most expensive, high tech conference facilities with the best food and most comfortable seats - if your conference venue is not within quick access from the major highways and byways, people will not be flocking to make use of your facilities.
Thirdly, you need to purchase high-quality conference tools. This can include anything from the mic to a couple of flip-charts and a screen. Nothing is more aggravating than a meeting or workshop being stopped halfway through because the projector screen is suddenly refusing to work! And if you make use of an inferior mic (especially applicable in bigger conference rooms) you will end up with frustrated participants who cannot hear what you are saying.
Next on the list is the matter of drinks and food. Will you have an in-house kitchen to do the catering for the delegates? Or would you prefer employing outside caterers to handle this? Whatever route you choose to follow, you need to keep in mind that the tea breaks and lunch breaks are often the highlights of any convention. Participants need to stretch their legs a bit, refresh their marbles and reenergize for the remainder of the session. And this won't be achieved by a couple of treats and a jug of fruit juice!
Choose your staff very carefully. As with most things, the success of a conference is greatly influenced by the workers at the conference venue. From the moment that the parking attendant shows the delegate where to park, to the servers at lunch time and the staff assisting with the technical facets of the conference, conference goers expect fast and friendly service! Educate your team properly and make sure that they know how important proper customer service is!
Cost is not everything, but it does play a role in a customer's decision to make use of a particular venue. Make certain that your conference packages offer the best value for money and that consumers know exactly what to expect!
With proper conference facilities, good service and warm and friendly staff, there is no reason why your conference venue cannot be successful!
